Data Retention Policy

This policy explains how long AIMICI retains your personal data and what happens when the retention period ends.

How Long We Keep Your Data

Account and usage data

Your account information, login history, conversation logs, project data, questionnaire responses, and course progress are retained for the duration of your active account. If your account expires or you request deletion, this data is deleted within 30 days.

Certificates of completion are retained for 90 days after account expiry to give you time to retrieve them.

Payment and billing records

Payment and transaction records, including billing contact details, are retained for 6 years from the date of the transaction. This is required by UK tax law (HMRC). During this period, personal identifiers are anonymised once they are no longer needed for billing queries.

Marketing consent records

Your marketing preferences are retained for the duration of your active account. When your account is deleted, your marketing preferences are deleted with it and all marketing communications cease immediately.

Server and security logs

Server logs (such as IP addresses and request data) are retained for a limited period for security and debugging purposes and are automatically deleted.

Data subject requests

Records of data deletion or subject access requests are retained for 3 years from completion to demonstrate our compliance with data protection law.

What Happens When the Retention Period Ends

Depending on the type of data, we either delete it permanently or anonymise it irreversibly so that it can no longer be linked to you.

Your Rights

You can request deletion of your personal data at any time by contacting us. We will process your request promptly, except where we are legally required to retain certain records (such as financial transaction data for HMRC).
